A boutique hotel group was running three properties on spreadsheets and a fax-era PMS. We built them one calm screen for bookings, arrivals and housekeeping — no manual required.
The dashboard. The whole morning briefing on one screen: occupancy, arrivals, departures, and what needs attention.
Three small properties, one shared front desk rota, and a booking system older than some of the staff. Check-ins meant juggling a legacy PMS, two spreadsheets and a WhatsApp group — and housekeeping ran on a printed sheet that was out of date by 10 a.m.
The ask: one internal tool that a new hire can use on day one. Not pretty for pretty's sake — fast, obvious, and impossible to get lost in. Big buttons, plain language, everything three clicks or fewer.
We worked mornings at reception before designing a single screen. The tool is shaped around the real day: arrivals at nine, chaos at eleven, housekeeping handover at two.
Filled buttons, clear status colours, dense tables, zero decoration. Internal software should be predictable — the design system is built for speed of reading, not delight.
A dashboard for the morning briefing, a reservations table for the desk, a live housekeeping board for the floors. Three properties, one login, no tab-hopping.
Reservations. Search, filter, export — a dense, fast table that answers who is in which room at a glance.
The housekeeping board. Live room status by colour — housekeepers update it from their phones, reception sees it instantly.
Rolled out across all three properties in a single week, with a fifteen-minute walkthrough instead of a training manual. The printed housekeeping sheet retired the same day.
The full tool is live as an interactive demo — open the dashboard, browse reservations, work the housekeeping board.
